Bookings Terms and Conditions

Definitions
In these Terms and Conditions, the following expressions have the following meanings:

“Hotel” Z Hotel, Nungwi
“Client” the guest or guests making the booking

1. Prices
a) Prices quoted are per person per day unless otherwise stated.
b) Rates are inclusive of all local and Government taxes and will remain fixed subject to all Government of Zanzibar charges remaining fixed. The hotel reserves the right to pass any increases in taxes on to the Client.

2. Transfers
Return airport transfers can be arranged by the Hotel at an additional charge.

3. Honeymooners
Honeymoon couples receive a fruit/flower basket, a bottle of sparkling wine and a lobster dinner for two, in addition to a sunset cruise on a local dhow sail boat. This offer is only available for guests staying 5 nights or more.

4. Wedding Anniversaries
Couples coming on their 10th, 15th, 20th, 25th, 30th, 40th or 50th Wedding Anniversary receive a fruit and flower basket and a celebration cake or bottle of wine.

Anniversary dates must be confirmed at time of booking or the benefits will not be extended.

5. Group Discounts
A 10% discount is offered on rates shown above for groups of a minimum 15 persons.

An additional 5% discount is offered where the group stays a minimum of 7 nights.

6. Children
a) 0 - 2 years (to maximum of 2 children): Free when sharing with 1 or 2 adults

b) One child 3 - 12 years sharing adult’s room: $25 per day when sharing with 2 adults

c) One child 3 - 12 years sharing adult’s room: 50% of adult sharing rate per day

d) Min. of 2 children, 6 - 12 years in own room: Pay single person occupancy rate
for room

e) Over 12 years pay full adult rate

7. Sports and Recreation
Chargeable: including but not limited to, Sailing, scuba diving, snorkelling, windsurfing, massage, beauty therapies

8. Cancellation Charges
A cancellation fee will be payable for all no-shows and reservations cancelled within 30 days of the arrival of the client based on the following scale:

a) No Shows: 100% of the full booking value

b) Within 5 days: 100% of the full booking value

c) 6 to 10 days: 75% of the full booking value

d) 11 to 30 days: 50% of the full booking value

9. Booking Procedures and Guarantee Schedule

The Tour Operator will confirm all bookings and rooms sold in writing to the Hotel by e-mail or fax. Reservations by phone are not acceptable. A voucher number or reservation number must be provided at the time of booking. Reservations will be on a request basis until confirmed by the Hotel upon which they will be considered guaranteed and definite in category booked.

Pre-payment must be received 14 days after date of invoice or at least 14 days prior to guest check-in if booking made late, or the Hotel has the option to cancel the booking or collect direct from the guest, unless credit facilities have already been established with the Hotel. Direct billing and credit facilities can only be arranged with a completed credit application and the approval in writing of the Hotel Financial Controller. A bank “letter of Credit” will be accepted as a guarantee of payment for services provided and facilities used at the Hotel.

10. Meal Plans
a) All rates quoted are on half-board basis, breakfast and dinner inclusive and will be taken in the Saruche Restaurant or Cinnamon Restaurant, at the Hotel's discretion.
b) Lunch service will also be available on an a la carte basis to all guests at extra cost.
c) Beverages are not included with meals taken as part of a half-board plan and are chargeable as extras.

11. Termination
Except as otherwise set forth herein, should a Tour Operator default in the performance of any term or condition of this agreement, and this default continues for ten (10) days after a written warning from the Hotel to Tour Operator, the Hotel may terminate this agreement without further prior notice. All bookings confirmed by the Tour Operator as of the effective date of such termination shall be subject to cancellation at the express and sole discretion of the Hotel.

Non-payment by a Tour Operator shall be grounds for immediate termination of this agreement upon written notification by Hotel. As payment the Hotel will take the deposited guarantee.

12. Payment Terms
The Tour Operator will pre-pay the Hotel at contracted rates (including all applicable taxes and any wire service or other fee, if any) in accordance with the guarantee schedule set forth earlier. The form of payment (cheque, cashiers cheque, telegraphic transfer etc.) will be at the discretion of the Hotel. The payment will be made in US Dollars and must be cleared funds in our account 14 days after the date of invoice or 14 days before guest check in, if booking made late.

If not previously submitted, a credit application for direct billing must be completed and returned with the signed contract. A bank “letter of Credit” will be accepted as a guarantee of payment for services provided and facilities used at Z Hotel.

If the Hotel approves direct billing, payment is due within forteen (14) days of the date of invoice. In the event that bills are not paid within this period, a 5% per month late fee will be charged. Should a delinquency occur, the Hotel may demand

full pre-payment for further reservations and revoke Tour Operator’s billing privileges.

13. Tour Operator Obligation
If the Tour Operator produces a brochure featuring the Hotel, only approved descriptive copy and photography of the Hotel can be utilized. The Z Hotel photography may be used only for the purpose of promoting the Z Hotel and use for any other purpose may only be with the express permission of the Hotel in writing.

14. General
a) The Hotel will allow a maximum of two adults or two adults with 1 child (3 – 12 years) or two adults with two infants (0 – 2 years) per room
b) Proof may be requested to confirm entitlement for the Honeymoon or Anniversary benefits.

This agreement is not valid without the signed authorization from the Z Hotel, whose consent may be withheld at their discretion. Upon receipt of a contract offer signed by the Z Hotel, the Tour Operator must sign and return a copy to the Hotel before the agreement becomes valid.

The parties agree that the Terms and Conditions set forth above are incorporated into and shall form a part of this agreement. Acknowledged and accepted by:
